What each area does
A functional tour of every part of CAFM Cloud.
Organization
Set up the structure of your business — companies, branches, departments, and job titles — plus the outside parties you work with: vendors who supply parts or services, and clients you manage facilities for. Approval routing for requests is configured here too.
Setup & reference data
A handful of reference lists get configured once, up front, and then show up as choices everywhere else in the app: user types, facility types, asset statuses, job titles (designations), owner types, cost centers, and depreciation methods. Getting these right early is what makes categorizing assets, routing approvals, and running reports feel effortless later.
Facility
Your buildings, organized the way they actually work: building → floor → zone → unit. This hierarchy is what everything else — assets, work orders, occupancy — hangs off of, so it's usually one of the first things set up.
Assets
The registry of everything your team maintains — equipment, fixtures, systems — organized into categories and types so it's easy to find and report on. Every asset carries its warranty status and, where relevant, its depreciation over time, so you always know what's covered and what it's worth. See How assets are added and tracked for the full picture, from registration through transfers and maintenance history.
Maintenance
Where the actual work lives:
- Work orders — every job, whether reported or scheduled, tracked from creation to close
- Checklists — the steps a technician should follow for a given type of job
- Maintenance frequencies — how often recurring maintenance should happen for a given asset
See How a job moves through CAFM Cloud for how this area actually works day to day.
Helpdesk
Where issues start. Anyone can report a problem; it becomes a service request that a supervisor assigns to a technician. If it's not picked up in time, it can be escalated.
Inventory
Spare parts and stock. See How inventory stays accurate for how stock is set up and adjusted, and Scheduled maintenance & parts for how a job that's short on parts gets what it needs without losing track of the job.
Users & roles
Manage who has access to CAFM Cloud and what they're allowed to do. See Roles & access for how permissions work in practice.
Home & reporting
A dashboard summarizing what needs attention — open and overdue jobs, assets nearing warranty expiry — plus rolled-up numbers across your business: asset counts and value by category, SLA performance, preventive-maintenance completion rates, unit occupancy, and upcoming warranty expirations.
A few areas — property & lease management, utility meter tracking, and financial/general-ledger reporting — are on the roadmap but not yet available. If you don't see them in your menu, that's why.
